An inflatable kayak RFQ should define the application, intended users, passenger configuration, use environment, product architecture, chamber plan, fittings, accessories, branding, packaging, quantity assumptions, required evidence, and approval process. It should also separate fixed buyer requirements from preferences and items open to supplier recommendation. That distinction allows suppliers to quote the same project instead of making different assumptions.
This RFQ/specification guide is for product managers, purchasing managers, and watersports brands preparing a kayak project for quotation. It is not a product safety assessment, engineering approval, or destination-market compliance conclusion. Final pressure, load, passenger capacity, materials, construction, operating limits, warnings, tests, and regulatory requirements must be confirmed for the specific product and intended market.
Start With the Commercial and Application Brief
Do not begin an RFQ with only a photograph, model name, or requested quantity. The supplier first needs to understand what commercial job the kayak must perform.
State:
- Target organization and sales channel
- Intended retail, rental, resort, club, or other approved business context
- Target user group defined by the buyer
- Intended paddling environment and activity type
- Passenger configuration and expected equipment or cargo scenario
- Position in the buyer’s product range
- Target launch market and destination countries
- Existing reference product, if one is being used for comparison rather than duplication
Describe the use environment factually. Terms such as “recreational,” “professional,” or “commercial grade” are too broad. Explain whether the project is intended for retail packages, repeated rental operation, supervised hospitality programs, or another defined setting. The supplier should not infer a safe environment or operating limit from a marketing description.
Mark Every Requirement by Decision Status
A useful RFQ distinguishes four types of information:
- Required: A fixed buyer or channel requirement that the quotation must follow.
- Preferred: The buyer’s desired direction, subject to feasibility and trade-off review.
- Supplier proposal: A field where the supplier should recommend an option and explain its basis.
- Open: Information that is not yet available and may affect price, development, evidence, or schedule.
Use these labels throughout the RFQ. If “three chambers” is not identified as fixed or preferred, suppliers may quote different architectures. Open items must remain visible, and every quotation assumption should be listed.
Define Passenger Configuration and Product Geometry
The RFQ should connect the passenger arrangement to the product’s actual use and layout. Include:
- Proposed number and type of users
- Seat count and adjustment requirements
- Footrest concept and adjustment needs
- Expected equipment or storage zones
- Required overall length, width, or installed-space limits, if confirmed
- Preferred hull or side-tube layout
- Bow and stern functional requirements
- Required carrying and handling points
- Buyer-approved load requirement or a request for the supplier to propose and substantiate one

Do not copy load or passenger claims from another kayak. If the requirement is open, ask what product-specific evidence is needed before approval.

Specify Construction and Chamber Requirements
Construction should be described at the level needed for a comparable quotation without turning an unverified catalog statement into a final specification.
Record:
- Preferred tube and floor architecture
- Whether the floor is fixed, removable, or open for supplier proposal
- Number and arrangement of independent air chambers
- Chamber separation and inflation sequence requirements
- Valve type, location, access, and identification needs
- Seam or joining method to be proposed and documented
- Required reinforcement zones based on defined fittings and handling
- Exterior and interior surface references
- Color, texture, and artwork constraints
- Product-specific pressure information that the supplier must state and support
Ask the supplier to identify the exact quoted construction through a drawing, schedule, material list, or controlled product description. If alternative constructions are being compared, request separate options rather than one ambiguous price.
Describe Fittings by Function and Location
A list of fittings is not enough. Each fitting should have a purpose, position, quantity, mating component, and approval status.
The schedule may cover:
- Seats and attachment points
- Footrests and adjustment hardware
- Carry handles and their intended handling role
- Drain openings or plugs and their operating purpose
- Fins, fin boxes, or direction-control components
- Paddle holders
- Bungee or storage systems
- Splash covers or deck features
- D-rings and their defined attachment purpose
- Bow or stern protection features
- Product identification, instruction, and warning labels
Avoid requests such as “add extra D-rings” or “include a better fin.” State what the feature must connect, hold, align, protect, or help the operator do. If it interfaces with another product, provide the mating part, dimensions, photographs, drawings, or component reference.
Site-specific towing, rescue, anchoring, mooring, or other safety-critical systems require separate qualified review and cannot be inferred from a product-side fitting.
Control the Accessory Package
Accessories affect product positioning, price comparison, packaging, instructions, and after-sales support. Create one controlled pack-out list that states whether each item is included, optional, supplied separately, or excluded.
Possible fields include:
- Paddle type and quantity
- Pump and adapter configuration
- Seats and footrests
- Fins and removable hardware
- Carry or storage bag
- Repair materials and permitted user-service scope
- Straps, hoses, or other project-specific parts
- Instructions, warnings, care information, and assembly documents
- Replacement-part references
Avoid “standard accessories.” Require component references, quantities, approved alternatives, and—when parts are shared—a compatibility matrix by product revision.
Include Branding and Document Requirements
Private-label and custom projects need controlled artwork and product-information inputs. The RFQ should state:
- Brand name and product naming structure
- Logo, graphic, and color locations
- Available artwork format and release status
- Product labels and identification fields
- Required languages
- Buyer-provided and supplier-proposed instructions
- Warning and compliance text approval responsibility
- Barcode, SKU, carton-marking, and traceability needs
- Ownership and revision control for final files

Define Retail, Shipping, and Operational Packaging
Packaging should be quoted as part of the finished product. Include:
- Intended retail, e-commerce, wholesale, rental, or project-delivery channel
- Required inner protection and accessory separation
- Bag, retail carton, shipping carton, or other pack-out structure
- Carton markings, labels, barcodes, and document placement
- Buyer limits for fulfillment, storage, or handling, if confirmed
- Required packed-dimension and weight reporting after the final sample
- Folding and packing sequence
- Repacking or return-inspection requirements where relevant
- Any retained packaging needed for rental or seasonal storage
Mark packaging data as estimated at quotation or measured after sample approval; an assumed pack-out is not final shipping data.
State the Quotation Basis
To compare suppliers fairly, give every supplier the same commercial fields and ask them to identify exclusions.
Include:
- Forecast or requested quantity by SKU and version
- Number of colors, graphics, and packaging versions
- Sample, development, tooling, artwork, and testing cost fields
- Unit-price breaks requested by the buyer
- Currency and quotation basis
- Delivery term and named location to be quoted
- Packaging included in the unit price
- Payment structure requested or proposed
- Quotation validity
- Sample and production timing to be stated by the supplier
- Items, services, documents, taxes, duties, freight, or third-party work excluded
Request these values without assuming a universal MOQ, price, development cost, or lead time.
Define Evidence and Approval Deliverables
An RFQ becomes more useful when it tells the supplier what must be delivered before the buyer can approve the project.
Request, as applicable:
- Quotation linked to a defined configuration
- Dimensioned product drawing
- Construction and component schedule
- Accessory and packaging bill of materials
- Artwork and label proof
- Sample plan and sample-identification method
- Product-specific test proposal and results required by the buyer
- Destination-market evidence identified by qualified compliance resources
- Inspection criteria and production reference documents
- Packed-dimension and weight confirmation
- Open-issue list with an owner and decision date
The buyer’s qualified compliance resource should identify destination-market requirements; the supplier should state whether the quoted product and evidence scope can address them. Keep quotation, drawing, sample, production, packaging, labeling, and compliance approvals separate.
Use a Controlled Inflatable Kayak RFQ Template
The final RFQ can be organized into ten sections:
- Project identity: Buyer, brand, SKU, revision, contacts, and target market.
- Application: Channel, users, activity, environment, and product-range role.
- Configuration: Passenger arrangement, geometry, seating, storage, and handling.
- Construction: Tube, floor, chambers, valves, seams, reinforcement, and surfaces.
- Fittings: Purpose, location, quantity, mating interface, and approval status.
- Accessories: Included, optional, excluded, compatibility, and replacement references.
- Branding and documents: Artwork, labels, instructions, languages, warnings, and file ownership.
- Packaging: Retail and shipping pack-out, protection, markings, folding, and measured data.
- Quotation basis: Quantities, price fields, commercial assumptions, timing, and exclusions.
- Evidence and approvals: Drawings, samples, tests, compliance review, inspection, and open issues.
Give the RFQ a revision number and one response deadline. Require the supplier to return the same template with every field completed, marked not applicable, or listed as an assumption. This creates a usable comparison and prevents important differences from being hidden in email threads.
